MakeForms provides a robust feature for handling sensitive data, ensuring that specific information remains confidential within your team. This guide outlines how to utilize this feature effectively.
What is Sensitive Data? Sensitive data in MakeForms refers to any data that you consider confidential and prefer to restrict access to within your organization. This could include personal information like phone numbers, email addresses, and financial details.
Marking Data as Sensitive
- Select the Field: Navigate to the form you are working on and identify the field you want to mark as sensitive.
- Mark as Sensitive: In the field settings, you will find an option to mark it as sensitive. Enable this option for the field.
Publishing and Testing After marking the necessary fields as sensitive, publish your form:
- Fill Out the Form: Enter data into your form to test the functionality.
- Submit Data: After filling out the form, submit it to see how the data is processed and stored.
Managing Access
- Access Settings: Go to the ‘Members’ screen where you can manage who in your workspace has access to the sensitive data.
- Adjust Permissions: You can specify which members or roles have the ability to view sensitive data. By default, integration access might include sensitive data access.
- Save Changes: After adjusting permissions, save your settings to ensure that only authorized personnel can view sensitive data.
Viewing Restricted Data
- If a user does not have permission to view sensitive data, the data fields will be masked (typically with an asterisk sign) to prevent unauthorized access.
Notifications and Privacy
- Ensure that notifications such as email alerts do not contain any sensitive data unless the recipient is authorized to view it.
