Configure Email Notifications in MakeForms
Video Tutorial
This guide will help you streamline your form management process by ensuring you and your team stay informed whenever someone completes a form.
Setting Up Email Notifications
-
Access Form Settings: Start by navigating to the settings of the form you wish to manage. Look for the option labeled “Send Email Notification” and enable it.
-
Choose Notification Recipients: You have two main options for specifying recipients:
- Workspace Members: Select which members of your workspace should receive an email notification. This is useful for internal team notifications.
- External Members: If you need to notify someone outside your workspace, add their email as an external member. They will need to verify that they agree to receive notifications.
-
Verify External Members: Once an external member is added, they will receive an email to confirm their subscription to notifications. They must verify this to start receiving emails.
-
Customize Reply-to Email: Optionally, you can specify a “reply-to” email address. This is the email address that will receive responses if someone replies to the notification email.
Configuring Autoresponders
Autoresponders are automatic emails sent to the form submitter, thanking them or providing them with additional information.
-
Enable Autoresponder: Toggle the autoresponder feature in your form settings. This activates the option to send a custom message to the person who filled out the form.
-
Draft Your Message: Craft a message that will be automatically sent to the submitter’s email address. This can be a simple thank-you message or include more detailed information or next steps.
-
Select Recipient Email Field: If your form collects multiple email addresses, select which email should receive the autoresponder message.
-
Personalize Your Message: Make your autoresponder more personal by including the submitter’s name or other personalized information collected from the form.
Finalizing Settings
After configuring both email notifications and autoresponders, ensure all settings are saved correctly. Test the process by submitting a form yourself and checking if all notifications and autoresponses are working as expected.
This straightforward guide ensures that every form submission is acknowledged and that necessary parties are promptly informed, enhancing communication and efficiency within your team or with your clients.
